Hi everyone! My name is Erica, and I am based in Houston, TX. I am a Director of Client Operations with Forthright Family Wealth. I support day-to-day operations, building workflows, and processes to support our team and our clients. We use Orion and Wealthbox, and I'm excited to learn if anyone has leveraged Wealthbox's new meetings tab, which has an AI notes option.

Virtual Meeting Assistants
Good morning! Back in June @Kevin Stephison had asked about using "AI Notes" for virtual meetings in this thread. I'm currently considering adding a meeting assistant to help with my Zoom/Teams meetings to record/transcribe/summarize my client meetings. I know @Joe Moss mentioned in the thread above that he's used Grain and Fathom. Curious, Joe... which of these 2 would you recommend and why? In the same thread @Brian Quaranta mentioned Avoma. And @Mark Wellman suggested a couple additional options. Anyone else trialed or using any of these tools and have any thoughts or opinions? Thanks very much 😀

We use Fathom for our virtual meetings, but I believe Wealthbox now has an AI feature that activates once the meeting starts.

Most custodians currently only approve DocuSign as their preferred electronic document method. If you’re moving away from DocuSign for custodial documents, there’s a good chance the custodian won’t accept them. Are you looking to switch to a new vendor just for internal documents?

Organizing Client Folders
We currently are in the process of standardizing our client folders (LONG overdue). We came up with what we think works for our firm, but I'm curious to see what everyone else's "standard" looks like! See attached image for what we are thinking of:

Below is our high-level client folder order. Within each folder, we create a hierarchy of folders dependent on relevance and importance. We also add the client's initials to each folder for easier searching capabilities.
