The easiest way to make AI part of your routine is not to start with a new tool. Start with one task you already repeat every week.
For example:
- Planning content
- Researching your audience
- Writing emails
- Turning ideas into offers
- Repurposing one post across platforms
- Reviewing what worked
- Organizing your weekly priorities
Then build your workflow using these four steps:
1. Choose one repeatable outcome
Do not say, “I want to use AI more.”
Say:
“Every Monday, I want a finished content plan for the week.”
or
“Every Friday, I want to turn my best-performing post into three new pieces of content.”
The clearer the outcome, the easier it is to build the workflow.
2. Give each tool one job
You do not need five tools doing the same thing.
Your workflow could look like:
- Research: Find the questions your audience is asking
- Strategy: Decide which ideas are worth creating
- Creation: Draft the content
- Organization: Place everything into your calendar or task list
- Review: Analyze the results and improve next week’s plan
One tool can handle several steps. The goal is not to use more AI. The goal is to remove unnecessary work.
3. Create one reusable master prompt - try this:

I want to create a simple AI workflow for a task I complete regularly.
The task is: [insert task]
I complete it: [daily, weekly, monthly]
My desired finished result is: [insert outcome]
The tools I currently use are: [insert tools]
The most frustrating or time-consuming parts are: [insert problems]
Build me a repeatable workflow that includes:
- The exact steps in order
- Which tool to use for each step
- What information I need to prepare
- Reusable prompts for each stage
- What can be automated
- A simpler version I can complete in 30 minutes or less
Remove any unnecessary steps or tools.
4. Test it for three weeks before adding anything
Week one: Notice where you get stuck.
Week two: Remove unnecessary steps.
Week three: save the final prompts, templates, and process.
