Do you travel with a mobile printer?
Hi, I'm Mariangel, a scheduler at TCSS. 👋 We had a seller package that was almost finished, and the notary had already completed the signing. At the very last minute, the title company realized they had missed two documents (5 pages) and needed them signed ASAP. Thankfully, the notary had a mobile printer in their vehicle, so they were able to print, sign, and resolve the order on the spot! It saved the day and avoided a trip back. I’m curious to see how you all work: Do you keep a mobile printer in your car for these types of situations, or do you prefer to print everything at your office/home before heading out? How often does having a mobile printer actually save a closing for you?

I keep my mobile office in my car, with the printer and scanner always ready to go. Once, the only thing I forgot was my stamp. I was already out on the street, working on something else, when I checked and realized it wasn't in my wallet. I lost that assignment. That experience taught me to check everything before leaving home. It's never happened to me again.
A little QC story from today...
Today I was reviewing a file where the notary didn't have the witnesses sign one of the documents that required them. When I followed up, the notary explained that our instructions only mention the Mortgage and Warranty Deed. That's true... but they also include this sentence: "For any other document requiring witnesses, follow the same procedure." Sometimes the documents themselves give us the best clues. If a document has witness signature lines and your witnesses are already sitting at the table, it's worth to have them sign.

🖊️ Would you ever arrive at a signing with your notarial certificates already completed?
Your notarial certificates should not be pre-filled, signed, or dated before the appointment. The certificate should only be completed after you've properly identified the signer, witnessed the signing (when required), and performed the notarization. Pre-completing certificates can lead to mistakes if the appointment is rescheduled, canceled, or if something changes at the table. A few extra minutes during the signing is always better than having to correct a notarization later.

I was always tempted to do it to save time. However, during a mentoring session, I met a woman who did just that, and the experience went very badly for her. She arrived at the appointment with the certificate already filled out before verifying the information with the signatory. It turned out that the buyer was a police sheriff. He was extremely upset, refused to sign the documents, and demanded that she print everything out again and come back when it was properly prepared. That story taught me a valuable lesson: it’s better not to even try. It’s not the right way to work. Sometimes, by trying to save a few minutes, we end up wasting much more time and damaging our professional reputation. For me, that was a fundamental lesson I’ve never forgotten.
