A little QC story from today...
Today I was reviewing a file where the notary didn't have the witnesses sign one of the documents that required them. When I followed up, the notary explained that our instructions only mention the Mortgage and Warranty Deed. That's true... but they also include this sentence: "For any other document requiring witnesses, follow the same procedure." Sometimes the documents themselves give us the best clues. If a document has witness signature lines and your witnesses are already sitting at the table, it's worth to have them sign.
📄 Scanbacks are more than a signature check.
We occasionally see notaries upload only the signed pages instead of scanning the entire package. The problem? ❌ Missing pages can go unnoticed. ❌ It's difficult to verify that the package is complete. ❌ It's hard to know which document a signature belongs to. Full scanbacks allow title to review the entire file before shipping. They can also help keep funding on track if the originals haven't arrived yet and provide a backup in case documents are delayed or lost in transit. A few extra minutes scanning can prevent delays, corrections, and a lot of unnecessary stress later. Have you ever been tempted to scan only the signature pages?

“Different” Doesn’t Mean “Wrong”
Hi everyone! I'm the Post Quality Control girl at The Closing Signing Service. I wanted to share something that happened while I was reviewing a set of scanbacks. I came across a Wisconsin notary stamp that only had the notary's name, "Notary Public," and "State of Wisconsin." Since I'm used to seeing Florida stamps with a commission number and expiration date, I immediately thought something was missing. Before saying anything, I looked up Wisconsin's notary law... and I learned that their stamps don't require a commission number or expiration date. 😅 It was a good reminder that not every state follows the same rules. Sometimes what looks like a mistake is actually completely valid.

The docs were approved and already shipped. 😊 Today really showed me that being a notary is one thing, but being a signing agent is a whole different skill set. The hardest part for me was learning how to explain documents in simple, everyday language that borrowers can actually understand instead of relying on the technical definitions I studied. Definitely a great learning experience overall. But on to the next!
