When it comes to handling phone calls, most drop offs happen right at the finish line. The lead is warm. They asked good questions. Then the tiny objections show up. Price. Spouse. Timing. “Let me think about it.” This is where a well trained Voice AI earns its keep. Not by being pushy. By removing friction and guiding them to a yes that feels safe. Here’s the simple flow I use to turn last minute stalls into booked times. Acknowledge. Reframe. Offer a soft next step. Confirm. - Price pushback.:  “Totally fair to get a ballpark. Most jobs land between X and Y. The free estimate shows exact numbers on the spot. Want me to hold Friday at 10. If it doesn’t work we will move it.” - Spouse check.  “Makes sense to decide together. I can pencil a time that you can keep or change after you both talk. Want morning or afternoon.” - Timing concern. “You don’t need to decide today. The visit is just to measure and show options. If you like it we schedule. If not, no problem. Want me to reserve a quick 20 minute slot.” These are different scenarios to help the lead secure a slot. How are you landing clients right now
There are a lot of ways to win. The trick is not trying all of them at once. Pick one. Go deep. Get good. Then scale it. Common paths people use: - Cold email - Cold calling - Partner intros - Content that drives inbound - Short looms to targeted prospects - Local events or niche meetups - Paid ads - Cold DM’s Here is my take. Most people spread themselves too thin. A little bit of everything. Not great at anything. You are better off choosing one channel and committing for 90 days. Build the list. Write the scripts. Why Follow Ups Matter More Than The First Call
The first touch gets attention… but the follow up gets the appointment. People are busy. They forget. They get cold feet. If you only wait for them to call back, you’re letting warm money cool off. A simple follow up system turns “interested” into “booked' that’s the whole game. What works isn’t complicated. Remind them why it’s worth it. Make it effortless to say yes or to pick a new time. Think short messages, helpful tone, and one-tap actions. Example flow you can copy today: - Hey {Name}, quick recap of what we’ll cover and what time works best for you? - Add a 10-15 word testimonial and add a open ended question. - “Still want help with {problem}. Happy to hold a spot for you. Want morning or afternoon.” At the end of the day, follow ups are respect. You’re helping them do the thing they already asked for. It’s very simple This goes for you and your clients You want to follow a specific cadence when it comes to your appointment reminder system. Create a reminder 24 hours before the appointment with a testimonial or review of the service through SMS and Email. Same thing goes for 1 hour reminder and 10 minute reminder. Giving them a testimonial and review is keeping them in the loop as to why others choose you/their service and builds trust. If they begin to cancel or reschedule you can now have AI handle that and get the back on the calendar. As well as create a no show / Canceled reminder automation. How is your show rate so far ⬇️?
