Hat tip to @Brandy Johnson The Wealth Architect for her earlier post about this. This important topic really deserves it! I have also been seeing lots of frustration among Summit attendees too. As a follow on to Brandy‘s excellent post I had ChatGPT itself put together the following explainer. The following is sourced from ChatGPT directly. If you’re new to ChatGPT and you feel like you have to start from scratch every single time, you are not imagining it, and, you’re NOT doing anything wrong. This is one of the most common pain points among beginners — and there’s a simple reason for it: Most people don’t understand how ChatGPT’s Memory works, what it remembers, what it doesn’t remember, and what changes between free vs paid versions. Let’s break it down clearly. (Edited) First, a note about privacy. ChatGPT will train the LLM / AI models on any interactions that are in input at the FREE level. On paid tiers, there are some limitations on what can be done with your data, but you should understand exactly how the app uses your data, and read the terms of use to make sure that you have a solid understanding about it. Next: 1. ChatGPT ONLY remembers what you tell it to remember ChatGPT does NOT automatically store everything you say. Its memory is purpose-built to avoid overwhelm, privacy issues, and accidental data retention. Here’s what it does remember when Memory is turned on: - Your preferences (tone, style, format) - Your repeating routines - Facts about your work, family, or projects (if you ask it to remember) - Long-term projects you’re building - Instructions you want it to use in future conversations Here’s what it does NOT remember: - Every detail of every chat - Temporary tasks - Sensitive info unless you explicitly ask - Anything you told it NOT to store So if your conversations feel like “starting over,” it means ChatGPT is waiting for you to tell it what should be part of your permanent workflow. 2. 😭Learn from my terrible mistake that just happened while upgrading to a ChatGPT business account
Please see an update for me this morning in the comments. This disaster is going to make me a much better founder. I got up at 3:45 AM today to begin rebuilding my company. Original post follows: I’m standing here writing this in tears, and I want to give a very sobering warning to anyone who is considering upgrading from ChatGPT plus to a business Team’s account on ChatGPT. There is a a glitch that was unknown to me before I started this process, but is apparently well known in the open AI developer community that all of your data is deleted when you migrate it and you can’t get it back. Everything I’ve been building for months is just …. Gone. Other than what I had saved and backed up in my personal files, my entire ChatGPT history has been zeroed out, and it really hurts because this was like my external brain for both home and my business that I’m building. Open AI acknowledged that their company documentation failed to include a warning that all of my personal data would be deleted and everything that I have been working on since day one in my accounts has been deleted, and there’s nothing I can do to get it back even though I followed their exact instructions on merging my personal and business accounts, to the letter. I just paid $618 to upgrade my account to two seats on a business plan and merged the data from my personal account to my business plan. Within a minute or two of that transaction going through as I was following the step-by-step worksheet that ChatGPT itself printed out for me. My accounts froze, and I had to log out. I logged back in everything was blank. When I used my previous emails that I had my accounts tied to to log back in ChatGPT opened free tier accounts using my business email that I just paid $618 to open my business account on. I’ve escalated this to ChatGPT Support and they were extremely unhelpful. Basically they said sorry it’s a known issue and there’s nothing we can do. I was planning on shipping a product today using the ChatGPT business plan because it offers a secure link so that I’m not sending out raw proprietary JSON code.

In the rush to integrate AI into work, we often frame it as a tool for acceleration. Faster research. Faster writing. Faster decisions. But rarely do we ask whether the pace we are chasing is one we actually want to sustain. The deeper potential of AI is not speed. It is space. The space to think clearly, to focus fully, and to create without exhaustion. As AI takes on more cognitive load, we have a chance to redesign not just how we work, but how we feel while working. Human performance in the AI era will not be defined by how much we can do, but by how intentionally we can use our attention and energy. ---- The Hidden Cost of Cognitive Overload ---- Many professionals today feel constantly on. Notifications, data streams, and shifting priorities keep the brain in a state of low-grade vigilance. The modern knowledge worker spends more time switching contexts than completing thoughts. AI has the potential to either magnify that overload or relieve it. The difference lies in how we design our workflows. When AI is used reactively, as a tool we open only when we feel behind, it increases pressure. When it is used proactively, as an embedded part of how we think, it creates calm. Consider a manager who starts using AI to draft updates and summarize meetings. The first benefit is time saved, but the deeper value is mental clarity. They no longer carry half-finished summaries in their head. The brain can release what the system can hold. Reducing cognitive load is not just a productivity goal. It is an act of wellbeing. The human brain performs best when it alternates between focused engagement and recovery. AI can become the partner that protects those boundaries. ---- Redefining Productivity ---- Traditional definitions of productivity were built around visible activity. The more tasks completed, the more valuable the contribution. But in the knowledge economy, output does not always equal progress. The true measure is the quality of attention behind the work.
