Error with n8n Webhook + Vapi
Hey guys, need some help from someone with a little more expertise. I’m running into this issue where I have set up my webhook test url + header name and value inside of my Vapi booking tool, and have pressed execute workflow on n8n. However, when running test calls and collecting the callers details, the webhook never triggers. Sometimes, when I press execute workflow and begin running the test calls, the webhook would trigger too early without my required payload field (callers info) and thus my workflow wouldn’t be able to execute properly. Has anyone had previous experience with this? I’ve seen have tried everything but still running into this issue. Not sure what I’m doing / missing. Thanks!

@Logan Ballantine This usually happens when the webhook is firing before the full payload is sent. A simple fix is making sure the trigger is set to wait for the caller data before passing it to n8n. It can be tricky the first time, but once the flow is lined up it works smoothly. How are you currently testing it, live calls or just through the booking tool?

@Charles Jenkins I’ve seen that too, usually the issue is test vs live data sending different structures. A staging flow fixed it for me. Which fields are you trying to capture first?
INBOUND SETUP
Question: if your building an inbound AI reception for a company and they only have 1 phone number for their business and they already have someone answer calls but are super busy. Do i have to let owner know they need a seperate phone number for the AI agent?

@Maya Magno You don’t necessarily need a new number, the AI agent can be layered in to handle first-touch calls before routing to the human rep. A separate line only makes sense if the workflow requires clean separation.

@Void Henox Great question, Clients don’t usually get the raw workflows. What works best is deploying the agent on their own account and giving them a simple dashboard or number they can use right away. That way, they have ownership while you stay in control of updates and maintenance.

Hello, good evening! A family member needs an AI receptionist for their real estate agency. All the companies I found that offer this solution have a platform that allows you to view all conversations. I couldn't find ANY information on how to create this type of platform. I only know how to create the flow in n8n. And no one talks about it, which is giving me extreme anxiety. Do I need a platform? How do I create it?

@Henrique Furtado You don’t need to build a full platform from scratch, what most companies do is layer tools like Vapi or Twilio on top of workflows to handle calls, then connect them to a simple dashboard for conversation logs.
