Brokerage Outreach Playbook | Part 1: Finding the Decision-Maker
Before any outreach, your VA needs a name and a title. Our primary targets are the Marketing Director/Coordinator or the Team Leader/Managing Broker. Here’s how to find them:
Method 1: The Brokerage Website (Start Here)
  • Navigate to the brokerage's website. Look for an "About Us," "Our Team," or "Leadership" page. Example - https://minneapolis.yourkwoffice.com/our-leaders
  • Scan the page for titles like Marketing Director, Director of Agent Services, Team Leader, Managing Broker, or Broker/Owner.
  • This is the fastest way to get a direct name and often an email address.
Method 2: LinkedIn Search (The Professional Standard)
  • Use the LinkedIn search bar. Be specific.
  • Search for: "[Title]" AND "[Brokerage Name]" AND "[City]" Example: "Marketing Director" AND "Keller Williams" AND "Toledo" Example: "Team Leader" AND "RE/MAX Results" AND "Toledo"
  • This will often reveal the exact person and confirm their role. It’s a great way to verify the information from the company website.
Method 3: The Warm Referral (The Gold Standard)
  • This is the most effective method, as discussed in the podcasts.
  • You (or your VA) should ask your existing, happy clients: "Who is the best person to talk to at your office about agent training and marketing resources? I have an idea that could help the whole brokerage."
  • A warm introduction from a respected agent is the ultimate key to getting past any gatekeeper.
