Continuing our Big Rocks First Discussion
  1. THE PSYCHOLOGY OF EASY TASKS - WHY YOUR BRAIN CHOOSES GRAVEL OVER ROCKS
Understanding why we default to easy tasks isn't weakness. It's neuroscience and naming it is the first step to overcoming it. Easy tasks give us immediate, certain reward.
  • You send the email, it's done.
  • You file the document, it's done.
  • You update the spreadsheet, it's done.
The brain gets a small hit of completion and moves on. Big rocks are different. They are uncertain, effortful, and the reward is delayed.
  • Writing a proposal takes concentrated focus with no guarantee of a yes at the end.
  • Making a strategic phone call requires vulnerability and might lead nowhere.
  • Starting a new service offering feels overwhelming before it starts to take shape.
So your brain, which is wired to conserve energy and seek certainty, quietly steers you toward the inbox and away from the blank page. Not because you're lazy. Because you're human.
The fix isn't willpower. Willpower runs out by 10am on a Tuesday. The fix is structure and AI helps you build the structure that makes choosing your big rocks the path of least resistance rather than the path of most discipline.
2. PROTECTING YOUR BIG ROCKS - THE AI WEEKLY SCHEDULING PROMPT
Once you know what your big rocks are, the next step is putting them in the jar first, literally blocking time for them before anything else can fill that space.
Most people plan their weeks around their meetings and then try to fit their real work into the gaps. This is backwards. Your most important work should be scheduled first. Meetings, calls, and admin fill around it. AI helps you build a weekly schedule that reflects this priority.
PROMPT TO USE — WEEKLY BIG ROCK SCHEDULE:
"My three big rocks for this week are: [list them with a brief description of each]. My confirmed meetings and calls this week are: [list them with times]. My peak energy and focus hours are typically: [morning / mid-morning / afternoon]. Build me a weekly schedule that: blocks my top big rock task in my highest-energy window every day before any meetings are scheduled, protects at least 90 uninterrupted minutes for each big rock across the week, batches my meetings and admin tasks into dedicated windows so they don't fragment my deep work time, and includes a specific note on what I will NOT do during each big rock block, so I'm clear on what I'm protecting that time from."
Put these blocks in your calendar before you share your availability with anyone else this week. The meeting that gets booked over your big rock time is never urgent enough to justify what it costs you.
3. THE DAILY RESET - STARTING EACH MORNING WITH YOUR BIGGEST ROCK FIRST
The single most impactful daily habit you can build as an event professional is this: do your most important work before you open your email. Not after the inbox. Not after the morning calls. Before.
Give yourself the first 60 to 90 minutes of your day, before anyone else's agenda enters the picture, for your number one big rock. Just one. The thing that, if you did nothing else today, would make the day a genuine professional win. This habit alone, practiced consistently, will produce more meaningful progress in your career over 12 months than almost any other single change you can make. AI helps you identify that one thing every morning.
PROMPT TO USE - DAILY MORNING RESET:
"Before I open my email this morning, help me identify my number one big rock for today. Here is my current situation: [describe your active events, outstanding proposals, key relationships to develop, and any time-sensitive opportunities]. Based on this, what is the single highest-impact task I should do in the next 90 minutes before anything else? What would make today a genuine professional win regardless of what else happens? And what should I specifically not do until this task is complete?"
Run this prompt before you open your inbox. Three minutes of clarity before 90 minutes of focused work. That combination, done consistently, compounds into results that feel disproportionate to the effort.
