If you have a question about your payment, invoice, or fee, please contact the signing service directly. Avoid copying the title company on emails regarding your compensation. Why? The signing service is responsible for paying you. Payment discussions should stay between the notary and the company that hired them. In many cases, the payment was already sent and the issue is simply an accounting or record-keeping discrepancy. When title companies are copied on these emails, it can create unnecessary confusion and make everyone involved look unprofessional. Professional communication helps maintain strong relationships for everyone involved.

This unfortunately happened to me once 😭 the signing was cancelled and I responded thinking it was the signing service letting them know I already printed but hadn’t left yet. I had messaged title directly! I immediately called the signing service and apologized profusely and even though they were understanding.. the damage was done. I continue to work with them, but it was a long way back to their trust. Always be careful notaries! Double check your “send to:” emails.

Quick reminder about witness addresses on Deeds and Mortgages:
When a document requires witness information, the witness address should be a physical address. 🚫 A P.O. Box is not acceptable. Many counties and recording offices require a physical address for witness information on recorded documents. A small detail like this can lead to rejected documents, corrections, and unnecessary delays. As always: ✅ Verify that the address provided is a physical address. Have you ever caught a recording issue during your final quality check?

Many times there will NOT be a line for the witnesses address but I have always, without fail, have been requested to add the address under the witness name. Keep in mind, this is a portion where more is more! Haha 🤣 and take a picture of the witness ID as well. (More is more!…in this case)

"Florida doesn't require witnesses on mortgages..."
A situation we see everyday involves witness requirements on mortgage documents.. The title company requested witness signatures on a Mortgage, but the witnesses were not obtained, and when asked about it, the response was: 👉 "Florida does not require witnesses on mortgages, only deeds." While that may be true as a general rule, here's the important lesson: Not every client has the same requirements. If the title company, lender, or document instructions request witnesses, then those witnesses need to be obtained. As signing agents, our job is not to decide which requirements are necessary. Our job is to follow the instructions provided for that specific file.

Witnesses are strangely always a pain point for me. I always assume I need one for any and all sellers and double check the instructions for all real estate transactions. This can get quite difficult as a notary as I’m still working on the best way to coordinate and ensure my witnesses feel comfortable and supported as well to nurture a long term business relationship. That being said, it’s always a coin toss on whether a witness is required or not until triple confirmed with title
