Just wrapped up an exciting automation project that streamlines lead engagement and task management using Make, Vapi, OpenAI, and monday.com! 💡 The Problem: A client offers 3 different services on their website, and every inquiry required manual follow-ups, qualification calls, and task assignments—which was time-consuming and inefficient. ⚙️ The Automation I Built: 1️⃣ Form Submission → Make: Captures lead details (name, phone, project choice). 2️⃣ Personalized AI Call via Vapi: ✅ We dynamically pass customer name, selected package details, and other key variables to Vapi API to make the conversation more engaging and relevant. ✅ AI agent (trained on website data) calls the lead. ✅ Answers FAQs, collects project details, and asks: Expected delivery time 📅 Any additional questions ❓ ✅ If all looks good, the agent closes the call professionally by thanking them. 3️⃣ Post-Call AI Analysis (OpenAI + Make): 🔍 The call summary is passed to OpenAI for deep analysis. 🔹 OpenAI returns key details, extracted questions, and a short summary in JSON format. 4️⃣ Task Creation in Monday.com: 📌 An item is automatically created for the team with all extracted details. 📝 The AI-generated summary is pushed into the updates section, allowing the team to review the conversation quickly before starting the work. 💼 Results: ✅ Personalized AI calls for better engagement 🎯 ✅ Faster response time ⏳ ✅ AI-powered lead qualification & insights 🤖 ✅ Streamlined task management ✅ This is a game-changer for service-based businesses looking to automate lead follow-ups and project onboarding! 🚀 Want to explore these tools?
