Quick tip for anyone juggling multiple clients:
Stop relying on memory. Build a simple “client brain” doc for each one. - preferences - tone examples - common tasks - “don’t do this” notes It reduces mistakes a lot and makes you look way more professional. I still update mine weekly.

this kind of simple system honestly saves so much stress and keeps client work really sharp 👍
If you're using ChatGPT for content, feed it your client's past 5-10 posts first.
Then tell it to "match this voice exactly" before you ask it to write anything new. the difference in output quality is significant instead of generic content that sounds like everyone else you get something that actually sounds like your client. I do this as standard for every content client now, takes maybe 2 extra minutes at the start and saves way more than that in editing time after. the more examples you feed it the better it calibrates 5 posts is the minimum, 10 is the sweet spot. if your client has a newsletter or blog those work even better than social posts because the writing is usually more developed. one of those small process tweaks that makes everything downstream easier.

That’s such a simple tweak but the output difference is huge—definitely stealing this.
Just got my first piece of negative feedback from a client and don't know how to process it.
She said my emails sound too formal and not like her at all I genuinely thought I was doing the right thing by being professional 😞 I've been trying so hard to do good work and this kind of knocked me. I don't even fully know how to fix it because I don't really know how to "write like someone else" yet. do you just read a lot of their old emails and try to copy the style? is there a tool that helps with this? or is it just something that takes time and practice? would really appreciate any advice because I want to fix it before she loses confidence in me completely

Totally normal—this is where you really start improving
Hi everyone! kinda new here.
Just started as a VA a few months ago and honestly still figuring out the basics. what's the ONE thing you wish someone told you when you started?
Quick tip for anyone juggling multiple clients:
Stop organizing work by client, start organizing by task type. Instead of: - Client A folder - Client B folder Try: - Content - Admin - Research - Outreach You batch similar work, your brain doesn’t keep context-switching, and productivity goes way up. Took me way too long to figure this out tbh

This is such a simple shift but makes a huge difference in staying focused and getting more done.
