Client Scheduling
For firms using Zoom Scheduler, how are you implementing it operationally? We’re considering using it so clients can schedule meetings directly, but with guardrails — ideally requiring at least two weeks’ notice so our team has time for meeting prep and portfolio review. A few questions: • Are you setting minimum scheduling windows (ex: 10–14 days)? • How do you handle advisor availability without exposing too much calendar time? • Are you using buffers or approval workflows before the meeting is confirmed? • Are CSAs still doing prep or did you automate the meeting prep?

Hi Lauren, we use Zoom Scheduler. We do the first three of your bullet points, but we haven't automated meeting prep. We also haven't automated too much of the follow up because we are more high touch. We switched from Calendly, and I was afraid I'd lose functionality. It's pretty good though.
Advisor Documents in Schwab Digital Onboarding
Does anyone use Schwab's digital onboarding to e-sign advisor documents? Would you be willing to talk me through your process? I'm hoping to password protect part of the document against editing and yet still have a couple of blanks filled out and require a signature and date. We need to actually have a signature on the document, not just a receipt that says it was signed. I can't find any procedures. Thank you in advance!
15-Minute Introductory call for prospects
Do any of your offices offer a 15-Minute Introductory call to prospects to vet them? If so, who is doing that call i.e. the advisor, marketing, operations? Can you also share the questions that are asked on that call? TIA

I am client services. In our office, two of us who are client services take 15-minute intro calls from prospects. (Usually booked from a link on our website.) Some of the questions we ask are: How did you hear about us, personal info, tell me about your situation, ask about financial details, employment status, own & owe, any follow-ups to those, next steps, schedule discovery meeting with planner or refer elsewhere.
