Objective
The client wanted to eliminate repetitive tasks around onboarding, communication, and CRM updates. Manual logging, emails, and scheduling slowed their workflow and increased the risk of missed follow-ups.
Solution
I developed a modular automation in Make that combines intake, authentication, and multi-platform engagement: 1- Intake & Logging: - Captured client inputs via Tally Form webhooks. - Data stored automatically in Google Sheets for tracking. 2- Secure Data Flow: - Signed a JWT token for secure authentication. - Sent structured data to an external API (api.vapi.ai/v1) via HTTP request. 3- Follow-up Automation (via MCP Server): - Gmail: Sent onboarding and follow-up emails automatically. - Google Calendar: Created client calls and event reminders. - Zoho CRM & HubSpot: Generated client records and support tickets for smooth handovers. 4- Modular Design: Each action can be toggled on/off, allowing flexibility for testing and scaling. Impact
