I have been working on revamping our job ad and would love any and all feedback. **The formatting looks off as I can't figure out how to bold or change font size on skool. The actual post has some things in larger font or bolded to stand out and give a more polished look. Tardiness policy examples?
Hello everyone! Curious about some examples for a tardiness policy? We have never needed to have one in place though do have a new hire that often arrives 2-3 min after the start of her shift. I want to have clear consequences and boundaries in place to amend to our handbook so it’s more objective. Would be grateful for any examples you’d be willing to share. Thank you in advance!! 🫶

Yep start the meetings on time. Also when it their first patient? Or is this an admin? Either way it is rude and honestly before setting up the policy I would recommend having a conversation. Maybe there is something going on there that you need to know about...I do this with my patients that are late. I offer them a change in schedule-- I honor reality-- they are late and I need them to be on time. I open it up for a conversation to try to figure out what the barriers are. And then yes have a policy.
Looking for some Exec Assistant VA advice :)
Hi all! My husband and I own a pediatric outpatient therapy practice in Savannah, Ga. We are venturing out to bring on our first VA/Executive-Personal Assistant through VR. Trying to navigate a few things before she starts next week. For those of you who have a VA managing your email inbox, how have you found to be the best way to give them access? We use Microsoft 365, so sharing our password to our email will grant access to everything- Teams messages, files, etc. We do have the option to make our emails shared inboxes, but I think this will be too cumbersome for the two of us. Anyone have advice they'd like to share? Would greatly appreciate it!

Hi Beth. I just went through this but our emails are managed by an IT company (also on microsoft 365) and they were able to give her administrative access with her own login to be able to access all of my emails. She doesn't have my password. Hope this is helpful. Maybe contacting Microsoft directly if you don't work with an IT company?
VA for intakes?
We are considering adding a second VA to handle intakes and scheduling. My team is hesitant and feels it needs to be a physical person in the office. We do a mix of central and therapist scheduling, so there is a ton of communication between therapists and the scheduler. I know many have done this successfully. I’m personally only worried about not being able to monitor the calls and be able to give feedback about tone. Thoughts?

Hi Lori. So we handle this the following way-- 2 VAs for phone management-- one handles new patients and one handles returning patients/ current patients that need scheduling changes. I have an offsite front desk manager who oversees both of these team members and has done extensive training with them. In my main clinic I have PT techs to help handle check in and light scheduling, however I also have a kiosk for patients to check in with. In my satellite I only have a kiosk-- no physical front desk person. My plan going forward is to put in more satellites with just kiosks for check in and no physical front desk person and to keep the scheduling centralized. This has worked really well for us. I think the thing that is important is you need to let it go. Even if someone is physically in the clinic you cannot watch and monitor all the time. When the VAs weren't doing what needed to get done-- we heard about it and were able to address it immediately with training. We use Slack for communication and this has been ideal for us. The front desk manager can huddle with team members on slack. In onboarding my PT in our new satellite I do huddles virtually and will be doing these from now on since I cannot be physically on site.
My #1 Marriage Hack
My wife and I are about to celebrate 27 years together, and we have four boys, ages 13, 15, 19, and 22. We are atypically happy (far from perfect, just statistically on one side of the curve), and as you can clearly see, she is disproportionately better looking than I am 🤣 What does this have to do with business? Everything. The atmosphere in our homes fuels or frustrates the progress we make in our companies. Plus, one of my favorite quotes is, “No other success can compensate for failure in the home.” -D McKay. So here it is... The Rule Of 1. I have found the most efficient and effective way to help my wife feel loved and appreciated...is using this rule of one. Here's an example: One of my wife's love languages is gift giving. I can come home from work with flowers, chocolates, and a card. She feels appreciated and loved. That counts as 1. Or Flowers+Chocolates+Card = 1 OR... I can bring her home flowers one day, chocolates another day, and a card another day at random. EACH of those counts as 1. Or Flowers+chocolates+card = 3. Each day, she feels the same appreciation, and we get a 3x return on the same effort. However... There is a compounding effect of spreading out these gifts. By being consistent over time, it doubles the impact, making it 6. Or 6:1 ...thanks to the rule of 1. Steps: 1. Determine her love language. See video attached. (Gifts work from some, service for others etc) 2. Ask her what she wants over dinner and take notes. (This act alone counts as 1). 3. Put it on a calendar and execute in advance. It is that simple. The ROI is impossible to calculate. Yes, it may come across as overly tactical at first, but in the end, it will land as romantic. This is 27 years talking. To be clear... At times, my wife and I drive each other crazy, have fights, and struggle. This is marriage after all. But in the end, if we can look at our loved ones and know we would do it all again, THAT is a wealth that money can't buy.
