There’s a point where doing it yourself stops being the cheaper option ✔️
By the time many business owners decide they need help, they’ve already been carrying too much for months. There’s always something more urgent. Another client to deal with. Another task that needs attention. Another week where they tell themselves they’ll sort it out later. Then things get busy enough that support becomes an emergency. That’s when decisions tend to get rushed. You don’t have much time to think about what should actually be handed off, what kind of support you need, or how the work should be structured. And when the goal is simply to get something off your plate as quickly as possible, it’s easy to move the work without really removing the responsibility. I’ve found that the better time to think about support is before you desperately need it. When things are busy but still manageable. When you can clearly see which recurring tasks are taking up your time. When you have enough breathing room to document the work, set expectations, and give someone a proper handoff. You don’t need to wait for the business to become chaotic before deciding what shouldn’t stay on your plate. Sometimes the best time to build support is when you can still do it thoughtfully. If you’re starting to notice that certain tasks are taking more of your time than they should, feel free to share what’s piling up. It might be worth looking at what can be taken off your plate. 🙂🚀

Jem, an easy handoff test would be asking the other person to run the process back to you using a real example. What starts it, what does finished look like, and when should they ask for help? That usually exposes gaps a written checklist alone can miss. Then you can improve the instructions before it becomes urgent.

Alex, how did the first job go? Worth saving the before-and-after photos, actual hours and the customer’s feedback while it is still fresh. That gives you something useful for both the next quote and showing future customers what you do. What type of work was it?

Question for Contractors or anyone, really...
Over the years I've found it really hard to get contractors to record their own videos for YouTube. However, with YouTube owned by Google, it's no surprise that videos do VERY WELL getting shown on page 1 when people type things like "driveway paving near me", or "garage door repair help". And they get watched! (even more if it's someone talking) People feel a connection with you, it increases trust, and turns into a phone call... especially if the video ends with "need help with your garage door? Give me a call at 312 560-u812!" They. Just. Get. Shown on page 1! (especially if you're smart with keywords etc) Would it be valuable to any of you if we provided this as a service? For example, we create and post a video per week of you actually talking on a roof, in a basement, etc.. It can actually look like YOU... but not be recorded by you, lol. (AI can do it once I have a model saved) This would most certainly get you calls... and a video on YouTube lasts forever! So after a year there are 50 of them etc.. Maybe we could do a test?

For someone uncomfortable talking to camera, I’d start with their own job footage and a short voiceover: what the customer needed, what you changed and one detail they should look for when hiring. That’s three useful clips without having to perform a sales pitch. Get the customer’s permission and keep addresses out of shot. Would your contractors find it easier to send a voice note about the job than record themselves on camera?
Anyone else notice how many calls get missed while crews are in the field?
Been building an AI receptionist for a US tree service company the last few months. One thing keeps surprising me: how much revenue never gets picked up. This company was missing about 50% of their calls. Not because anyone was slacking, but because the crew is in the field. Guys are on trucks, on-site, hands full. Homeowner calls at 2 PM, no answer, moves to the next name on the list at 2:02. Set up the AI to catch every call, qualify (scope, location, timing), and drop the job straight into their CRM. They're booking about 50% more jobs a month now. Roughly $20k+ per month in recovered revenue. Same crew, same ad spend. Curious for the roofers, HVAC folks, and tree service guys here: how much of your inbound do you think gets missed when your crews are out working? Would love to hear if 50% is normal or if we caught an outlier.

Hiten, I’d be interested in how you measure the recovered jobs. I’d separate unique new enquiries from repeat calls and existing-customer calls, then track estimate booked, estimate attended and job won. That would help the owner see what the answering system actually adds. For the handoff, I’d also want an obvious owner and callback deadline whenever the system can’t answer a question. Are those callbacks getting tracked in the CRM as well?
