A hard one for the community, because most of us have felt it.
You are at a signing table and something feels off. The signer seems unsure, someone else is doing all the talking, or you get the sense that this may not be fully their choice. Two questions for the community: Have you ever paused or stopped a signing because the signer did not seem aware, willing, or able? What did you notice, and how did you handle it without making the room tense? What is your go to move when a family member is answering for the signer? How do you create a moment to speak directly with the signer? Share your experience below. These are the moments nobody really trains you for, so let’s train each other.

Looking forward to this feedback. I have not experienced that as of yet and hope I never have to. But…. Would like to know how to handle it professionally.
📄 Scanbacks are more than a signature check.
We occasionally see notaries upload only the signed pages instead of scanning the entire package. The problem? ❌ Missing pages can go unnoticed. ❌ It's difficult to verify that the package is complete. ❌ It's hard to know which document a signature belongs to. Full scanbacks allow title to review the entire file before shipping. They can also help keep funding on track if the originals haven't arrived yet and provide a backup in case documents are delayed or lost in transit. A few extra minutes scanning can prevent delays, corrections, and a lot of unnecessary stress later. Have you ever been tempted to scan only the signature pages?

I feel like it would take longer to separate the signed pages than sending the entire package, even if you don’t have a portable scanner. I honestly have never thought to just scan back signed pages. Maybe bc I’ve been on the title side before and know those signed docs are used for more than just to verify signatures are complete.

Let's talk about accountability...
We recently had a file where the title company included two shipping labels inside the package. Knowing this could cause confusion, we left a very clear note for the notary indicating exactly which label needed to be used. Unfortunately, the wrong label was used. The package was lost, the title company never received the documents, and the borrowers had to sign again. When we asked the notary to return for the re-sign, the response was: "I'll do it, but you need to pay me a witness fee because this happened due to the two labels being in the package." Here's the question: If specific instructions were provided and the wrong label was still used, who should be responsible for the consequences? Mistakes happen to all of us. But when they do, should accountability be part of professionalism? Curious to hear your thoughts. 👇

I believe it should be enough time. If you can scan back at the table with your mobile scanner you save yourself a lot of time. If not, you should still have enough time to get back to home/office scan and get to FedEx. I like to set an hour for signings (especially for larger doc sets - for any questions, small talk or issues) if scanning back at table I add additional 20 min. - if done before that…. Score. If not scanning at the table, 45 min to get back. (in case of traffic - Miami’s brutal sometimes - also depends how far it is from you) and 20 min to scan, upload & get “ok to drop doc” from title/SS. Then drop at FedEx Everything at table & drop = about 2.5 hrs Going back to scan = about 3.5 hrs. I love that you ask that question bc so many of us sometimes bypass this crucial scheduling point. It’s so important to calculate all of the moving parts to make sure these docs get back in time. I never want to be the reason someone’s loan doesn’t fund 🫣

One thing I forgot to add that may be helpful for other notaries (especially the ones here in Miami)... if for whatever reason you cant make it to your close-by local fedex to drop you can always find out what time the latest drop off is at the airport Fedex hanger. I've definitely utilized that several times.
