Understanding a PMIS (Project Management Information System) - And why AI will make these more important
The average construction project runs across a dozen disconnected spreadsheets — and that's exactly where mistakes happen. A PMIS (Project Management Information System) fixes that. It's one place where every piece of project info lives and connects: RFIs, variations, drawings, costs, correspondence, approvals — all in one system instead of scattered across files nobody can reconcile. The key thing spreadsheets can never do: a spreadsheet records what you did, a PMIS controls how it's done. Raise a variation and your cost-to-complete updates automatically — because in construction everything is connected. And with AI coming, it's about to be non-negotiable. AI is only as good as the context you hand it. A PMIS is that context — your whole project history in structured, connected data.

@Tim Fairley I do everything from proposal schedules for estimating projects to then construction schedule creation and progress updates and delay tracking. I work for a developer and contractor but also do stuff on the side.

In this video, I did a deep dive on a specific workflow you can use to get AI to read construction drawings The workflow involves: 1. Splitting the drawings 2. Generating a plain text summary of each 3. Identifying all the relationships between different drawings 4. Generating a library of legend symbols And then a specific workflow for querying drawings. This is awesome. I was just having a conversation with Claude on how best to do this. I want to be able to ask at any question about drawings and specs and get the information ASAP.

@Tim Fairley when I was asking Claude it said to try and get searchable PDFs form the architect. I will try both ways and see.

Been working on this for a while, but have built a new 4+ hour course on the absolute fundamentals of procurement and contract management It covers all four domains of contract management: 1.
