Well, here's an interesting scenario:...it actually happened to one of my clients who is in College...
What do you do when your upcoming party, a few days away, is looking to BOMB....meaning, you don't have many presold tix and you are starting to FREAK OUT?????
... you are freaking out as you have a Bar Guarantee and a Rental Fee that needs to be Covered, before you DIG a BIG HOLE for yourself and actually LOSE MONEY...
Party.... is days away..... tickets aren't where they need to be. Here is exactly what to do.... no fluff, no theory. This is what works in the last 48–72 hours.
1. GET ON THE PHONE.....RIGHT NOW!!!!... not tomorrow... NOWWWW
Text messages and reminders are fine, but they will not save you. You need to physically call your 15-20-50 most connected people, not message them....
....CALL them tonight and say:
"Hey, are you coming Friday? I need a little help packing it. Can you grab five or six people and roll in together?"
.....That's it. ....Keep it real, keep it personal.
Then do the same with your co-promoters and DJs. Everyone on your team calls their top 20+50 relationships tonight and asks each person to bring three friends. That's organic group energy and it costs you nothing.
2. TARGET PEOPLE STILL IN THE CITY
Who is in town and looking for something to do Friday night? Call or text your top three college contacts right now and say: "Are you staying in town for summer session? Want to come to an Awesome Theme party and bring friends?"
...Summer school students are a captive audience with no plans. That's a low-hanging fruit most promoters completely miss....And WHO doesn't want to go to a GREAT PARTY!
3. RUN A GROUP TICKET DEAL
Send this via email and DMs immediately: Buy 5, get 1 free. Buy 10, get 3 free.
Groups sell tickets inside their own circles. One person becomes your "street team" the moment they buy five tickets and need to fill seats.
4. DO A TAG-TO-WIN ON INSTAGRAM AND SNAPCHAT
Post tonight: "Tag 3 friends — we'll pick 5 winners for free entry and a VIP spot." Every tag is free reach into a friend's feed. That's the friends-of-friends spread, but digital. It costs you a handful of comps and puts your party in front of hundreds of locals who never saw your ads. Two days is plenty for this to run.
... but obviously you would want to do this EARLIER on too...
5. USE THE BIRTHDAY PLAY
Does anyone in your network have a birthday this week or next? FIND OUT>>>> Ask around. You should actually HAVE that "Message" On Your website and in Your Regular Promotion.
....offer them a free reserved area or a comped table if they bring 8–10 friends. Birthday crews show up deep and they buy bottles and drinks because it's a celebration ....which helps your bar numbers too. One or two birthday groups can be 50+ paying people walking in together.
6. LIGHT A FIRE UNDER YOUR DJs
They're hungry and they want footage. Tell each DJ straight: "Fill your guest list. A packed floor gives you the clips that build your name — a half-empty room doesn't." They will go to work on their own followings for free because it directly serves them.
...one of the hings I did was to have that in the "DJ-Contract"...as to exactly When and How Many emails/texts they would send out leading out to the party.
7. ONE LOCAL MICRO-INFLUENCER, ONE FREE TABLE
Find a Local Mover and Shaker on Instagram or TikTok in the 5,000–20,000 follower range that matches your crowd. Comp them a VIP table in exchange for posting Thursday and Friday and showing up. That's targeted reach into exactly the local crowd you need, for the cost of a table you haven't sold anyway. ...even give them a unique link to give them a kickback from each ticket sold. This is all "Easy Math"....right?
8. USE THE PRE-GAME PIPELINE
If you have some well-connected persons in your network, ask them to throw a pre-game at their place. Everyone gets loose and excited, and then the whole crew rolls into your party together as the main event. A warm group that arrives together brings the energy in the door with them. That alone can be 30, 40, 50 bodies arriving fired up.
9. CREATE URGENCY — ANNOUNCE YOU MIGHT SELL OUT
Once you hit a number you're proud of, post: "We might sell out — get your tickets now." Scarcity is a proven motivator. People who were sitting on the fence will move. Do not wait until you actually sell out to say this. Say it while you still have tickets.
10. IF YOU HAVE A BAR GUARANTEE — PROTECT YOURSELF SMARTLY
If your venue has a bar minimum you need to hit, don't panic. Track the tab throughout the night by asking the manager what the register is showing.
If you're coming up short near the end, consider purchasing bottle service .... you're not losing that money anyway if you fall short; you're just turning a penalty into product and taking care of your VIPs at the same time. That's a legitimate party expense and the smart move.
Also: Connect with your venue manager before the night .... simply ask if they can help shrink the room slightly with curtains, ropes, or extra tables to make a smaller crowd feel and look fuller. Do they have the extra tables / ropes / stansions etc. to make this happen or not?
.... YOU Do NOT want to have a room that holds 700 people and only 400-500 people show up. You will immediately start feeling that the party is NOT packed, and you always want to have a packed venue!
Remember, you're only as good as your last event. So you need to set yourself up for success for the NEXT one.
FINAL THOUGHT
Tickets come from relationships. Every single one of these steps is about activating the people around you ....your DJs, your promoters, Your Co-Hosts, your friends, your network, the Venue itself....
Don't wait for the ads to work. Call, connect, and create urgency. All hands on deck!
P.S. There are some "other things" you also do as a Promoter, a Seasoned Promoter, that I also share in the VIP area of this community. So inquire within of how you can be a part of that community here:
AFTERTHOUGHT:
Ask yourself:
How did this situation "happen".... what did I do wrong?
What can I do better next time to avoid this situation?
How do I put a System In Place to Never Be In This Situation Again?
What should I have "spotted earlier" to have seen "it" (sales) lagging?
FINAL, FINAL TIP: Always, ALWAYS collect contacts at your current event. Make sure you have people working for you that night.... that can "pick out the right people" that you want to make sure you have the contact information for your next event.
You should always be ready to promote your NEXT event at your CURRENT event. Having a physical flyer is a great way to do that, even if we all love digital these days!
