iGS Tip: Stop Letting Your Inbox Decide Your Priorities (Use This Simple Tag + Smart List System Instead)

You ever open your messages thinking you’re just going to “check one thing”…

…and 45 minutes later you’re deep in 12 conversations, half-replying, forgetting who needed what, and wondering how you somehow became a full-time professional message juggler.

It’s not the messages that drain you. It’s the lack of a simple system telling you what actually matters.

Here’s a small shift inside iGS that changes that completely.

Instead of reacting to every message, you can organize your conversations automatically using tags and Smart Lists so you only focus on what’s relevant in the moment.

Inside iGS, go to Contacts → Smart Lists.

Create a new Smart List and name it something like “Hot Conversations” or “Needs Reply Today.”

Set your filters like this: Contact Tag → contains → “Needs Response”Last Activity → is in the last → 1 day

Now save that list.

Next, we make it effortless to populate that list without thinking.

Go to Automations → Workflows and create a new workflow.

Set the trigger as: Customer Replied

Then add a filter on the trigger:Message Channel → is → SMS or Email (whichever you use most)

Now add an If/Else step:Condition → Contact Tag → does not contain → “Closed” (this keeps finished conversations out)

In the “Yes” path, add:Add Tag → “Needs Response”

Then add a Wait step:Wait for → 2 hours

After the wait, add another If/Else:Condition → Last Message Direction → is → Inbound

If YES (meaning they replied and you haven’t yet):Keep the tag as is

If NO (meaning you responded):Remove Tag → “Needs Response”

Turn the workflow on.

What you just created is a quiet assistant that keeps your conversations organized in real time.

Any active conversation that still needs your attention gets tagged and shows up in your Smart List. The moment you respond, it clears itself.

No more scanning your entire inbox. No more guessing who needs you.

You just open one clean list and move with clarity.

This is one of those small systems that gives your brain a break. Less mental tabs open. Less second-guessing. More presence in the conversations that actually matter.
