Executive Assistant (AI-Native Operations & Systems)

About the Role
I’m the founder of a fast-growing AI education and consulting company working across 20+ AI and SaaS platforms daily. I need a highly capable, AI-native Executive Assistant who can lift operational, technical, and project load immediately—not someone learning AI from scratch.
This role sits at the intersection of executive support, AI-powered operations, systems integration, and project management. You will help stabilize, connect, and optimize workflows so nothing falls through the cracks again.

What You’ll Own (Core Responsibilities)
Executive Support (High-Level)
- Manage inboxes, calendars, follow-ups, and deadlines using AI-first workflows
- Track commitments across emails, Slack, Looms, meetings, and community posts
- Ensure nothing drops—especially launches, events, and cohort communications
AI-Powered Operations
- Use AI tools to streamline workflows, reduce manual work, and increase execution speed
- Create SOPs from Loom recordings and turn them into reusable systems
- Design AI-assisted workflows for content, communication, and admin tasks
Systems & Tools Management
You’ll actively work inside (and help connect):
- ChatGPT / Claude (advanced prompting & reasoning)
- Google Workspace (Docs, Drive, Calendar, Gmail, Gems)
- HighLevel (CRM, funnels, workflows)
- Canva
- Loom AI / Descript
- Mailchimp
- ManyChat
- HeyGen / ElevenLabs
- NotebookLM
- Fathom
- Zapier / Make / n8n (or willingness to work with them)
You do not need to know every tool perfectly—but you must be confident learning fast and connecting systems logically.
Project & Program Coordination
- Track moving parts across programs, cohorts, launches, and events
- Maintain task boards, timelines, and deliverables
- Help coordinate instructors, collaborators, and internal support

Required Experience
- Executive Assistant, Operations Manager, Project Manager, or similar role
- Hands-on experience using AI tools for real work (not just content writing)
- Strong written communication and follow-through
- Excellent organizational and prioritization skills
- Ability to work in fast-moving environments without burnout
Nice to Have (Not Required)
- Experience supporting founders, consultants, or educators
- Familiarity with online communities, cohorts, or digital programs
- Experience documenting SOPs or building internal knowledge bases
