1. TRAIN YOURSELF TO ANTICIPATE
Great admins spot what's coming before the CO (Community Owner) mentions it. Practice looking at calendars, launches, and events a week ahead. Ask yourself: "What will my CO need next that they haven't asked for yet?"
2. ALWAYS BRING SOLUTIONS
When you see a problem, never report it empty handed. Come with two possible fixes. This one habit alone will set you apart from 99% of admins.
3. LEARN TO SUGGEST IMPROVEMENTS
See a clunky process? Research a better tool or method. Busy CO's love admins who say "I found a way to make this easier." Start building your toolkit of platforms, apps, and shortcuts you can recommend.
4. BUILD THE HABIT OF HANDLING DETAILS AUTOMATICALLY
Proofread everything before sending. Resize images without being asked. Check links before they go live. Train yourself to do quality control on every single task. Never let something leave your hands unpolished.
5. STUDY THE BUSINESS, NOT JUST THE TASKS
Learn what success looks like for the communities you want to (or already) support. Understand the goals behind the tasks. When you know the "why," you make smarter decisions and catch things others miss. Schedule time with the community owner to find out their preferences.
6. PRACTICE PROACTIVE COMMUNICATION
Send updates before being asked. Flag potential issues early. Set a reoccurring reminder to keep your CO informed before they need something, so they never have to chase you. BEST PRACTICE: Interview them to find out their weekly rhythm and build your calendar reminders 2 days ahead of that.. your deliverables should arrive more than 24 hours ahead of when your CO needs something. This builds trust faster than anything else.
7. OWN RECURRING TASKS WITHOUT REMINDERS
Once you know something happens weekly, put 2 days ahead of time, on your own calendar. Don't wait to be told. Admins who run on autopilot for routine tasks free up their Community Owners to focus on growth. This will make you indispensable!
8. DEVELOP YOUR PATTERN RECOGNITION
Start tracking what works. Which posts get engagement? Which welcome messages convert? Which members went quiet? Bring insights to your Community Owner without being asked. Data makes you invaluable.
9. INVEST IN YOUR OWN GROWTH
Learn new tools. Study successful communities. Watch what top admins do. The more skills you build now, the more you can charge later. Continuous learning is what separates average admins from ones who get premium rates.
10. PRACTICE MAKING DECISIONS WITHIN BOUNDARIES
Ask your CO what you can handle without asking permission. Get it in writing. Then, handle it. The fewer bottlenecks you create, the more your Community Owner trusts you. Start small. Build that judgment muscle over time. Make sure you have it all in writing and documented as a matter on onboarding when you on ramp to become a VA.
