Hi all, I run cold outreach for an agency and a few clients. I keep losing domains to blacklists and bad reputation while campaigns are live, and I don't know whether the cause is my setup or just the cost of cold email. I'd like to hear what you would fix, and what an ideal setup looks like. My setup - About 14 domains and 40 mailboxes (Google Workspace and Microsoft 365), 3 mailboxes per domain, sending through Smartlead - 4 campaigns at once, with roughly 14, 10, 10 and 6 mailboxes - 20-25 sends a day per mailbox - SPF, DKIM and DMARC on every domain The problems I'm having 1. A domain got listed on SURBL (ABUSE). It is also my public website, and it's the sending domain for three mailboxes. Those mailboxes have only run warm-up, and none was in a campaign in my sequencer. I don't know what triggered the listing. 2. Two other lookalike domains bought around the same time got listed on SURBL too. I don't know whether that's a coincidence. 3. Two Outlook mailboxes on my oldest domain keep getting worse. Warm-up reputation fell from 73% to 66-69% in two days, and about a third of warm-up mail lands in spam. The domain isn't blacklisted and DNS passes. They run two live campaigns. 4. New mailboxes show 3-4% bounce on warm-up mail after about 8 days. I'm not sure whether that's normal or a warning sign. 5. One shared hosting IP on a domain is listed on SpamRats. It's the website host, not the mail server. 6. A few old mailboxes are on a cheap shared host with DMARC at p=none. I stopped using them for cold email, but I'm not sure I handled them correctly. 7. I only found these problems by running a report by hand. I had no alerts, and I found one listing days late. What I'm asking 1. Why do you think this keeps happening? Is it my list quality, my copy, my volume, my link or tracking setup, or just normal wear for cold email domains? 2. How do I get a SURBL listing removed? Does it work for cold email domains, and does it stay clean? Or do you always replace the domain?
