The 5-Minute Daily Sync
Set aside 5 minutes at the start of each day (or end of the previous one). This is not a status meeting. This is a high-impact checkpoint to get you out of reactive mode and into intentional leadership. Here's the structure: Top 3 Priorities for the Day Ask your EA: - What are the 3 most mission-critical tasks you’re tackling today? - Are these aligned with our company’s strategic objectives this week? This ensures energy is going toward the right tasks, not just what’s loud or urgent. Blockers or Bottlenecks Ask: - What do you need from me to move forward? - Is there a person, tool, or approval holding something up? This prevents delays that turn 2-day tasks into 2-week problems. Urgent Recap from Yesterday Ask: - What slipped through the cracks? - Were there follow-ups, missed responses, or decisions left unresolved? This step closes loops before they widen into full-blown issues. Why It Works: - Reduces decision fatigue, you frontload your day with clarity. - Builds trust and ownership, your admin isn’t waiting for you to “notice” something. - Increases execution speed, no more stalled tasks or crossed wires. - Replaces long check-in meetings with rapid-fire alignment. Pro Tip: Make it a standing meeting (literally). Keep it short, direct, and done in 5. If it’s bleeding past 10, you’re either coaching too much or micro-managing. Fix the systems, not the symptoms.
