Just sharing lessons from my past 6-month project
One of the most challenging but exciting CRM projects I've worked on involved migrating 200K+ contacts and thousands of tags, automations, and external integrations (from make to n8n) from Keap CRM into GoHighLevel. At first glance, a CRM migration can look simple, Export contacts, import contacts, and rebuild workflows. In reality, it's way more complicated when you consider the amount of planning that goes in without you having to break communication with the existing customers. When you're dealing with hundreds of thousands of contacts, years of historical data, thousands of tags, custom fields, automations, and existing customer journeys, one small mistake can affect thousands of records. That experience taught me a few important lessons: 1. Don't migrate everything blindly. Not every old tag, field, contact, or automation deserves to be carried into the new system. Some of the features are already outdated and need not to be moved to an improved system or process. Migration is also an opportunity to clean up the CRM, do away with unnecessary automations, and reduce the cost of running the new system. 2. Clean the data before migration. Duplicate contacts, outdated information, inconsistent formatting, and unused fields can create bigger problems once they're inside the new CRM. There’s no need for you to move such information. If the old system presents an opportunity to clean up everything, then it’s best to do it right there. 3. Map your fields before moving anything. You need to know exactly where every important piece of information is going in the new system. A successful migration isn't just about moving data. It's also about preserving its meaning. Failing to map the fields correctly will definitely end up breaking some important processes. 4. Audit your tags. Thousands of tags can quickly become a mess if there isn't a clear structure, especially if they have been created over a look period. I look at what each tag represents, whether it's still being used, and how it connects to workflows and segmentation. Some tags, such as ones that were being used in old or seasonal marketing campaigns shouldn’t be moved along.

@Mouldi Nouri you also have to understand what to keep live in each system over the migration period to avoid errors such as double billing, multiple communication of the same thing to the customer. There's really a lot of things to keep in mind.
