Bit of a wet one, so instead of wasting the day we headed out and got a few quotes done. I wanted to show you guys some of the actual systems we use at JJ's because quoting doesn't need to mean getting back to the office with a pile of handwritten notes and trying to remember what the hell you looked at. Here are a few things from this run that you can apply in your own business: 1. Keep the whole job in your job-management system We're using Tradify. Before heading out, the job is already entered with the client's details and scope. When we're on the way, we can send the client an “I'm on my way” notification with an ETA straight from the job. It's a small thing, but it creates a much more professional client experience without adding more admin. 2. Record the site conversation When we arrive, we're using the Pocket to record the conversation with the client. That gives us a record of the scope, measurements, client requests and anything else discussed onsite. We can then transcribe that conversation and use ChatGPT to help turn the information into the quote. You're not relying on memory later, and you're far less likely to forget something the client specifically asked for. 3. Not every measurement needs a tape measure For straightforward boundaries and larger areas, we'll often use Google Maps to measure the job. You can see that in this video with the retaining wall and fencing quotes. We still inspect the property because Google Maps can't tell you about access, vegetation, gates, retaining-wall heights or site conditions — but it can save a heap of time measuring straightforward lengths. 4. Inspect for the things the satellite can't show you This is probably the more important part. At the retaining-wall job, we didn't need to physically measure every metre. What we DID need to establish onsite was: - how many sleepers high the retaining wall was - the condition of the existing fence/wall - how many gates and returns were involved - access - how much vegetation would need clearing before construction
