How do you do Task Management?
How do you use tasks in Obsidian? And how do you stop it becoming one uncontrollably long list? Every task system I have ever used worked for about a week. Then the list hits 100, it starts looking like my email inbox, and I stop opening it because it makes me feel bad. I just finished the video on how I do it now, and it comes down to two rules. RULE 1: EVERY TASK BELONGS TO A PROJECT No project, no task. If it has nowhere to go, it does not get created. The list shrinks on its own, because half of it never had a home. RULE 2: EVERY FINISHED TASK GETS A MOMENT OF REFLECTION Before you move on, ask: did I learn anything here I will need again? A process, a set of steps, a link, a way of doing it. If yes, that becomes a knowledge note that outlasts the task. Most tasks earn nothing. The ones that do are what make the next project easier. The picture shows it. Today's tasks point up to their project. Some of them leave reusable knowledge behind. Next time the same kind of project comes around, the knowledge is already there and the tasks start from it instead of from zero. POLL: How do you handle tasks right now? One question for the comments: What do you do with a task once it is done? Does anything survive it?

How do you do Task Management?

I'm getting overwhelmed with moving tasks to future dates lol I have been using Todoist but now I'm considering TaskNotes.. The problem is that I often have tasks that I don't necessarily intend to complete on a particular date, but I don't want to forget about them either. For example, I might have a task like "organise some shelves for the laundry". I'll give it a date so it pops up in my Today view, and when I see it, I'll often just push it forward another few weeks to a month. (In Todoist) Sometimes I find myself pushing 10 tasks that landed in there same Today view forward 6 weeks. So I might do this for months until I eventually get around to it or just delete the task or change Task apps and start fresh just like I'm about to do now with TaskNotes. Anyway so the date isn't really a deadline or even a day I plan to work on it. It's just a way of making sure the task keeps resurfacing so it doesn't get forgotten. I'm curious how anyone else handles this habit and especially if you're using TaskNotes? Do you use scheduled dates and keep pushing them forward like I do, or do you have a different system for resurfacing tasks without cluttering your actual Today list? Would love to hear how others approach this.

@Paul Hampton-Smith Interesting Paul. I used to use Things 3, I like your 3 idea too actually, I'll remember that - Right now I'm trying to have everything in the Obsidian vault run by Claude. So lets see what happens but its interesting to know how others handle this, thanks for sharing..
Next years taxes, keeping track.
Yeah so, I just logged in my daily note that bought a new hard drive to back stuff up. I am going to claim this as an expense in my FY2027 tax returns which will need to be done end of June 2027 I was about to create a Project - 2027 Tax Returns and just link that from the log but then I'm wondering is this too simplistic? As the year rolls on I will have car services, petrol, parking expenses.. Domain name registration expenses. Many that I want to claim.. I'm looking for a way to keep track of my expenses, but also distinguish which expense I am going to claim on tax. I'd like to do this via my Telegram Claude bot as I make the purchase or pay the bill. Any suggestions perhaps? Keen to hear how you all do this (if you do) @Dee Construct I see you already have a Youtube finance tracker tutorial which I could try. Do you think that this would do the trick? I would need to get claude to integrate it to the vault.

@Dee Construct Ah yes I did see that video. I want to utilise that system actually but somehow integrate the vault with it. Maybe as I enter expenses just tag anything I want to claim tax on in the process and somehow get it to end up in the tax project in the vault. Is there much difference between this and your more advanced version ? I’m thinking I could try getting Claude to whip up a custom version perhaps.
The irony of recently publishing a video on task management in Obsidian and then posting this is not lost on me
Last week I posted a video on how to do Task Management in Obsidian, and today I'm arguing why you shouldn't use them. I think there is something inherently broken about how we do task management. There's a few high performance, superpowered, motivated beings who manage to keep an organised list of tasks and work through it every day. Same people who hit inbox zero daily. Most of us aren't like that. Most of us are messy, procrastination loving sloths with bursts of productivity few and far between. I'm one of the sloths. I've started and stopped task management systems way too often. The list keeps growing, I stop looking at it because it hurts to see what's still open, and when I finally do look, most of it is already done. Through my work sessions. So here's the question I've been chewing on since I published the task management video: if so many people fail at keeping a clean task list, is the clean task list actually the best way? Or is it just the "passable" way, and there's a more natural shape we haven't settled on yet? Cars are a good example. They're all starting to look the same, not because every car maker developed the same taste, but because the wind tunnel keeps giving the same answer. Once you know the most aerodynamic shape, every car drifts toward it. I think knowledge management is drifting toward its own shape, and I don't think it has a task list in it. The way I see it, a task in Obsidian can live in three forms: 1. A one-line task, pulled onto the project page 2. A task note, with status, priority, subtasks 3. A work session, where the AI reads the previous sessions on the project and tells you where you left off The first two are explicit and satisfying to tick off. The third one is what I actually use. The tasks and their status get carried from session to session, so there's no list to maintain, no weekly clean-up, no thinking about what's next. Just a trail of work sessions until the project is done. Task list as drag. Work session as the shape with the least resistance.

Tasks in work sessions seem to be the logical choice as to where to put them I think because they belong to it don't they? I would love an answer to all your questions because I'm in the same situation. If I look at my open tasks it makes me anxious. Maybe we just don't like the idea of looking at a list of things that we have to do because then it's like 'you must do this' feeling. Overwhelming. I remember that app I used to use 'Things' for Apple devices. It would break tasks up into areas like 'Anytime' 'Someday' 'Upcoming' I liked that plan for quite a while, but then it turned into a mess, and I would keep moving tasks further down the track. Maybe the future is Claude tasks, where we teach it our habits and it can assign tasks for us (from a list we've given it) after analysing how our day / week is going and then sorting via priority.. Like having a parent look over us and just telling us what to do. The goal being that we don't have to think or remember. When claude tells us we need to do a task today we can tell it 'no not today I'm feeling lazy leave it for tomorrow' then it can decide if it should push it or assign it to 'later in the week' ...just some thoughts

@Dee Construct I actually really like it! I would definitely welcome something like this. A coach to take care of all of our tasks is next level 👍 I think you’ve pretty much nailed the concept there.
What dedicated logging roll-up pages do you find useful?
Hi guys, Let's compare notes, shall we? I'm pretty sure most folks have already adopted the philosophy Dee teaches and preaches — daily logging is awesome. So, most logged items go into pertinent projects, hub pages, or people's profile pages, etc. But some tend to group themselves into stand-alone pages, where we roll up the items via a DataView query. What views do you find most practical? I, for one, try to keep such pages to a reasonably small number: - insights - decisions - my medical track record (daily actions and deviations from the norm, if any) - my experiments + 'reality contact' outcomes - 'effort log' (for things like meditation and other inner practices) But I am open for suggestions 😃

Just out of interest do you just rely on the rollups as intended by HUBS /Projects or do you write info in the hubs as well?
Images in daily note
I like uploading pictures in the daily note. Love this feature and how it builds over time.. Problem is the photos take up a large chunk of space inside the vault. Not that my vault is large, but the photos are probably taking up 60% of the space of the entire vault and that's with using the Image Converter Community plugin to shrink the file size.. Claude will fix the problem by making me a symlink so that when I add an image it will get copied on to my iCloud Drive /attachments folder instead of my vault folder where attachments currently live. . Obsidian won't know the difference.. :-) Lets see how it goes..

@Dee Construct I really like adding photos daily but what if you're having a mundane routine few days do you still add 3 photos per day but of what? Do you add always 3 or sometimes none or just 1 ? Curious about your '3' rule if its even a rule :- )

@Dee Construct Do you ever put more than 3 images per day? I noticed that sometimes I have a full day with a lot to report to the vault and end up using 4 images.. Does this affect any rollups later perhaps? Page formatting on some weekly or yearly reviews maybe? Because I've always heard you speak of 3 images per day just wanted to clarify why 3 ?
