When your team says a job is “done,” does everyone mean the same thing?
The crew finishes and heads to the next stop. But photos weren’t uploaded, the customer didn’t get an update, and the office doesn’t know it’s time to invoice. Now you’re chasing details on a job that was supposedly finished. A simple checklist can help define what “done” actually means: - Check the work against the approved scope. - Clean up and collect equipment. - Upload completion photos. - Update the customer. - Record any issues that need attention. - Notify the office that the job is ready for invoicing. Make it clear who handles each step and where the information goes. Ask your team what’s missing, then test the checklist on one job. Today’s action: Spend 15 minutes writing a “done” checklist for one task that regularly leaves you chasing answers. Keep it short and easy for your team to find. Where do things get missed most in your business: finishing jobs, sending invoices, or updating the office?

What’s one hat you’re ready to take off?
It’s Monday morning. Before you’ve finished your coffee, someone needs a price approved, a customer wants an update, and a crew member is asking where they’re headed next. How much of your morning is spent answering questions that eventually need to be handled without you? It’s an easy pattern to fall into. You know the customers and the work, and solving the problem feels faster than explaining it. So you keep handling it. But every time the answer lives only in your head, the business has another reason to wait on you. Whether you want to sell someday or enjoy a day off without constantly checking your phone, changing that starts with one responsibility. This week, pick one hat to start handing off: - Sending customer updates. - Following up on estimates. - Ordering routine materials. - Handling scheduling questions. Give the person taking it over a clear outcome, decision-making boundaries, and a check-in time. “Take care of customer updates” leaves too much open to interpretation. Try: “By 3 p.m., confirm tomorrow’s arrival windows with each customer. Use this template. Here are the rescheduling options you can offer. Bring anything else to our afternoon check-in.” Expect questions. Use them to improve the instructions instead of taking the task back. Your challenge today: Choose one recurring task, name someone who could own it, and schedule 15 minutes to walk them through it. What’s the one hat you’d most like to take off—and what’s keeping you from handing it over?

For myself, it's been giving my customers updates. Instead of responding myself because its "easier" I've been taking the time to teach my team on how to respond correctly for each situation and if it goes beyond their comfortability, lead them in the direction of possible solutions, bringing them to my attention, and doing a quick call with which answer is best!
