Week 3 Proof Post: Build One Reusable Assistant âś…
Yesterday was about moving from Level 1 to Level 2. Level 1 is a chat. Level 2 is saved context. The task today is simple: Build one reusable assistant, project, gem, notebook, or custom setup for one repeated task. Do not build a whole business system. Do not try to automate everything. Pick one task you already repeat. Post your proof below: 1. Task: 2. Platform: 3. Context added: 4. Test input: 5. Output created: 6. What I fixed after review: 7. Where I need feedback: The important part is number 6. A reusable assistant is not finished because it gives you an answer. It is useful when you review the answer, fix the instructions, and make it easier to reuse next time. Stop pasting the same context every time.

Good tasks for this: - turn notes into posts - draft client follow ups - summarize calls - clean up FAQs - create weekly planning outputs - rewrite offers or emails in your tone One task. One assistant. One test. One fix.

@Kerri-Ann Watson Well done! The fix is good but as we are currently in level 3, automations are yet not super strong so what I suggest is to split it into 2 steps: 1. First, get AI to research the school facts only. 2. Then, once you approve the facts, get it to write the letter. This could be either 2 different project: "Researcher" and "Cold Outreach" Otherwise, you could include within the instructions that the school website is a requirement. However, school websites usually are not always kept up to date, and things like the principal's name/values/demographics could change every year so that is I think slightly difficult to do with Level 3, and you might actually need level 5/6 to get this part right. As part of the added instruction, you should also create a little School Website QA section, something like this: "You must verify that the school name, suburb/town, state, and website match the exact school I gave you. Do not use information from a similarly named school. For each fact, show: - the fact found - where you found it - the source link - confidence level - whether I need to manually check it If you cannot verify the principal’s name, school values, demographics, or other details from a reliable source, write “Not found” instead of guessing."
Save your prompts and templates here 📌
This is where we keep the reusable stuff. Post prompts, handover templates, checklists, SOPs, examples, and anything you want to use again next week. A good prompt is not just a clever question. It usually has: 1. Role 2. Context 3. Task 4. Standard 5. Format If something worked, do not leave it buried in a chat. Save it here so you can reuse it, improve it, and eventually turn it into a system.

@Kerri-Ann Watson Great question. Week 2 was about getting one useful result from a chatbot. Week 3 is about making that result reusable. For your ad, you could create a Project called something like “School Program Ads”. Then add your key context into the Project sources: - what your business does - who the ad is for: parents, schools, government agencies - the version of the ad you liked - the tone you want: simple, professional, school-friendly - any wording you do or don’t want used - your business name and contact details when you’re ready Then, next time you want to improve the ad or create another one, you don’t need to explain everything from scratch again. You can just open that Project and say: “Improve this ad for school decision-makers.” or “Create a shorter version for parents.” or “Give me 3 different headline options.” So in your case, Week 3 helps you turn this from a one-time ChatGPT task into a little reusable workspace for your ads and school communication. You’ve already done the hard part by creating the first version and asking what was missing.
Share your Week 1 homework!
Week 1 is not about trying to master every AI tool. It is about getting clear on where you are right now, and picking ONE thing you want AI to start taking off your plate. Drop your homework below: 1. What level are you currently at? 2. What is one repeated task you do every week? 3. What would “done properly” look like if AI helped you with it? Example: Level: 1 - I use ChatGPT sometimes Task: Writing follow-up emails after calls Done properly: AI drafts the email in my tone, includes the right next steps, and I only have to review it before sending. Keep it simple. The goal this week is not perfection. The goal is to stop guessing and find your first real AI handover.

@Kerri-Ann Watson That is great! I think starting with the right mindset and knowledge will help you speed-run the parts you would otherwise spend a lot of time in. I suggest you brainstorm with ChatGPT Projects (Week 3) and give as much SOURCES as possible and then figure out what is the best and fastest path for you to build your business.

This community is here to help you use AI properly in your business so you save time, stop starting from zero, and start building toward your own AI operating system. Start like this: 1. Watch Week 1: The Platform Map 2. Watch Week 2: Level 1 Chatbots 3. Pick one task you do every week 4. Use AI to create one useful output 5. Post your proof in Weekly Tasks ✅ Do not try to automate your whole business on day one. Pick one real task. Client follow up. Social post. Email. Research. Sales call summary. Weekly planning. Anything that repeats. If you get stuck, post in AI Help Desk 🧠 And one thing you will hear a lot in here: Save your prompts. That is how we stop starting from zero every week.
