Freebie swap schedule

I'm starting to do more freebie swaps (yay!) and was curious how people are scheduling theirs. Do you have one day a week you send and then fill from there? Or something along those lines? I know I've heard people who say they have openings on a particular day. I just want to start getting more of a system together with mine.

Also, along those lines, does anyone have a good way to track their collab partners?? Basically a CRM but I don't have a full CRM. Maybe a Notion or Airtable database? Those are what I use more of in my business.
