Here's a possible Team Meeting Structure I've adapted for you
I have a monthly meeting with my team, and it has improved productivity/effectiveness of the business TENFOLD, and my team are much HAPPIER, knowing what's going on and how they can positively affect the outcome.
Remember: You must include your TEAM (there's no i in Team) - so always ask questions. So they feel included and valued. If they give a suggestion, make sure you action it, or explain why it might not be a good idea right now.
(You don't have to do all sections below - take what works for you)
Dance School Monthly Staff Meeting Structure:
  1. Student Numbers Graph
  • Visual representation of class attendance
  • Breakdown by class styles/age groups
  • Retention rates visualisation
2. Challenges This Month
  • Identify biggest operational hurdles
  • Student/parent complaints or concerns
  • Facility or scheduling issues
3. Solutions & Prevention Strategies
  • Action plan for identified challenges
  • New procedures or systems to implement
  • Staff training needs
4. Celebrations & Wins
  • Outstanding class performance
  • Student achievements/progression
  • Successful events or workshops
  • Positive parent feedback
5. Principal's Update
  • Overall school direction

I like to reward 'good behaviour' so I actually add £5 to a team pot for actions we decide together that will benefit the business...We use it for team outings, fun lunches etc.
Incentive Ideas:
  • £5 reward for each verified Google/Facebook review they encourage for team pot.
  • Bonus for 100% teacher attendance
  • Reward for maintaining high student retention rates
If you're thinking 'I've tried getting them together, they just don't care'
Then maybe send out a message out to them similar to this...
"Hey Team!
Quick heads up about our monthly team session we are going to implement - and yes, it's paid time because investing in our crew is non-negotiable!
These power hours are all about making your life easier and classes bigger. When you thrive, your classes grow, and that means more stable income for you. These sessions are designed to directly impact your teaching career and earning potential.
We'll be sharing wins, tackling challenges together, and making sure everyone's got what they need to crush it in the studio. Plus, you'll get first dibs on upcoming opportunities!
At the end of the day, delivering an amazing experience for our students starts with us. When we're aligned and supported as a team, that energy flows straight into our classes. Your voice matters, your experience counts, and together we'll keep raising the bar while making sure you've got everything you need to thrive."
