I built an AI school admin assistant in n8n

A school office loses hours every week to the same three jobs.

Finding a substitute when a teacher is absent. Writing and sending parent notices. Chasing low attendance and pending fees.

So I built one AI assistant in n8n that handles all three, right inside a Telegram chat. Staff just type a message, the way they would text a colleague.

Here is what it does:

1) Teacher absent?

Tell the assistant "Ms. Rao is absent tomorrow". It finds every period that needs cover, asks the free teachers with simple Yes / No buttons, and shares the final cover plan. If nobody is available, the principal is alerted.

2) Message for parents?

The principal types one line. AI writes the notice in English and Hindi, the principal approves with one tap, and every parent in that class receives it by email.

3) Morning summary at 8am

The principal gets a short briefing: students with low attendance, overdue fees, today's substitutions and what to do first.

No new software to learn. The staff keep using an app they already know, and the school's data stays in a simple Google Sheet.
